PPDA Malawi Conducts Staff Training on New Electronic Memo System

On June 30, 2025, PPDA staff in Lilongwe attended training on the new electronic memo system. Developed locally by PPDA’s ICT team, the system shows the authority’s internal capacity and efforts to enhance efficiency.

The Director General officially opened the training, highlighting the authority’s commitment to embracing public service digitalization to optimize resources and position PPDA as a leading tech-driven institution in the country.

He reminded staff to prioritize strong internal relations despite adopting the new digital tool. “While embracing technology, we must keep our cohesion and teamwork intact, as they are essential for our success,” the Director General said.

During the training, staff learned about various modules integrated into the e-memo system, including user management, initiating loose minutes or internal memos, endorsement DG, approvals, and redirection to the appropriate departments for action.

The new e-memo system will also feature a dedicated module for external correspondence, enabling all external letters and communications to be processed electronically.

The e- memo will ensure no memos are lost, facilitate faster communication, improve accountability through clear approval trails, and allow teams to track the status and duration of memos at each stage. Moreover, staff can initiate, review, and approve memos remotely, supporting flexible work environments, while reducing paper use and manual document handling.

Today’s training session aims to familiarize staff with the system’s functionalities and ensure a smooth transition. PPDA’s digital move reinforces its commitment to modernizing public services through digital governance.
